Privacy Policy

How OcasioSync LLC (“OcasioSync,” “we,” “us”) handles personal information — both on this website and in the OcasioSync scheduling product.

Who this covers

This policy has two audiences, and most people only need one of them.

  • Visitors to this website — you are reading about the product and may send us an access request. See “This website” below.
  • People booking an appointment through an OcasioSync booking page, and the agents and organizations using the product. See “The OcasioSync product” below.

OcasioSync provides scheduling and meeting technology to businesses (“Campaign Organizations”) and their representatives (“Agents”). When you book an appointment you are interacting both with the organization you chose to meet and with OcasioSync, which operates the underlying service. That organization may have its own separate privacy policy. This policy applies to individuals in the United States; we do not currently offer the service elsewhere.

What we collect here

If you contact us to request access, we collect what you choose to send: your name, work email, organization, role, and any message. To keep the request form working and protect it from abuse, our servers also log standard technical data such as your IP address and the time of the request. If your request fails to send, its details may be written to our server log so that we can still reply to you.

We use this only to respond to your request, to talk with you about founding-partner participation, and to keep the site secure. We do not sell it and we do not use it for advertising.

Cookies & tracking on this site

This site sets no tracking or analytics cookies and loads no third-party analytics. Fonts are served from our own domain, so visiting the site does not send your details to third-party font or analytics providers.

Where your request goes

Your request reaches us as an email — this website keeps no customer database and stores nothing about you on its own servers. We use a third-party email provider (Brevo) to deliver and receive messages related to your request; they process this data on our behalf. Your request then lives in our email inbox, and we keep it only as long as needed to follow up and, where relevant, for our records. Ask us and we will delete it.

The OcasioSync product

Information we collect

When you book or attend an appointment. We and the Campaign Organization collect what you submit: your name, email address and phone number; any additional details requested on the booking form, which vary by organization and may include free-text fields; and the appointment details you select.

When you attend an online meeting. Online meetings are hosted by our video provider, Whereby. To confirm whether a meeting took place we receive attendance events — the times participants joined and left, and the resulting outcome such as completed or no-show. We do not record the audio or video of meetings.

Automatically. Technical information such as your IP address, browser and device type and timestamps, plus cookies that are strictly necessary for security — including sign-in and anti-forgery tokens. The public booking flow does not require you to sign in.

From third parties. If an Agent connects a calendar such as Google Calendar or Microsoft Outlook and chooses to sync appointments, the appointment information you provided may be written to that Agent's connected calendar.

We do not intentionally collect Social Security numbers, payment-card numbers, government IDs, or sensitive categories of personal information through the booking flow. Please do not put such information in free-text fields.

How we use it

  • Provide the service — create, confirm, reschedule, cancel and conduct your appointment, and connect you with the appropriate Agent.
  • Communicate with you — booking confirmations, reminders, meeting join links and cancellation or reschedule notices, by email and/or SMS.
  • Verify attendance — determine whether a meeting took place, using join and leave events from the video provider.
  • Operate, secure and improve the service — troubleshooting, preventing fraud and abuse, enforcing rate limits, and maintaining the integrity of the platform.
  • Comply with law and enforce our terms.

Text messages

If you provide a mobile number and consent, we (or the Campaign Organization, through our platform) may send you appointment-related text messages — confirmations, reminders, join links and reschedule or cancellation notices.

  • Consent: by providing your number and checking the consent box on the booking form, you agree to receive appointment-related texts. Consent is not a condition of any purchase.
  • Frequency: varies with your appointment activity.
  • Rates: message and data rates may apply.
  • Opt out: reply STOP to any message to stop receiving texts. Reply HELP for help, or contact us at contact@ocasiosync.com.
  • Carriers are not liable for delayed or undelivered messages.

We do not use your number for marketing texts unless you separately opt in, and we do not sell or share your mobile information for others' marketing.

Email

We send transactional emails — confirmations, reminders, join links, cancellation and reschedule notices — necessary to provide the appointment you booked. We do not send marketing email, and these messages therefore carry no unsubscribe link: stopping them means cancelling the appointment they relate to. If we ever start sending promotional email, it will carry both an unsubscribe link and a postal address, and we will update this policy first.

Who we share it with

  • The Campaign Organization and its Agents — what you submit when booking is shared with the organization you chose to meet and the Agent assigned to your appointment.
  • Service providers who process personal information on our behalf: Whereby for hosting online meetings and providing attendance events; Twilio for text messages; Brevo for email; Google Calendar and Microsoft Outlook for calendar synchronization where an Agent has connected a calendar; and OVHcloud US for hosting the platform and database, on servers located in the United States.
  • For legal reasons — to comply with law, respond to lawful requests, protect our rights, or prevent fraud, abuse or harm.
  • Business transfers — in a merger, acquisition or sale of assets, subject to this policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

Online meetings and recording

Online meetings run through our third-party video provider. OcasioSync does not record meetings. The provider handles the meeting connection and gives us join and leave events used solely to confirm attendance. Its own privacy practices apply to its processing; see Whereby's privacy policy.

How long we keep it

We keep personal information as long as needed to provide the service and for legitimate business and legal purposes — for example, to maintain a record of appointments and their outcomes. In-app notifications are deleted after 90 days.

How we protect it

We use reasonable administrative, technical and organizational safeguards — encryption in transit (HTTPS), encryption of sensitive stored credentials, access controls and rate limiting. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your privacy rights

Depending on where you live you may have rights regarding your personal information. We honor the rights below for all U.S. residents where applicable: to know or access the categories and specific pieces of personal information we hold about you; to delete it, subject to exceptions; to correct inaccurate information; to opt out of the “sale” or “sharing” of personal information — note that we do neither; and to non-discrimination for exercising these rights.

We do not sell or share any of these categories. To exercise your rights, email privacy@ocasiosync.com, which is the designated method for submitting requests. We will verify your request before responding, and you may use an authorized agent, subject to verification.

Children

The service is not directed to children under 16 and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us at privacy@ocasiosync.com and we will delete it.

Third-party links

We may link to third-party websites or services, such as the video provider's meeting room. We are not responsible for their privacy practices; their own policies govern.

Changes

We may update this policy from time to time. Material changes will be reflected by the “last updated” date above and, where appropriate, additional notice. Continued use after an update means you accept the revised policy.
